Frame it as investment, not reward
The team should understand that the trip exists to bring specific knowledge back into the company. Each attendee has objectives, not just an itinerary. That framing produces sharper preparation and better outcomes.
Give people specific responsibilities
One attendee owns supplier research, another the conference programme, another the competitor mapping. Coming back, each presents to the team. That structure transforms the trip from "interesting" to "transformational".
Build in time for the experience
A fair day is long and intense. Plan one dinner or evening activity together — it strengthens the team and produces some of the best conversations of the trip. Don't try to maximise every hour.
Follow through after the trip
