- Define clear goals before booking.Each attendee should know what success looks like for them personally — not just for the company.
- Book hotels 8+ weeks ahead.Major trade fair cities fill quickly and prices double or triple during fair weeks.
- Pre-book key supplier meetings.Top exhibitors have fully booked calendars during the fair. Reach out 4–6 weeks ahead.
- Pack for long walking days.You'll walk 15,000–20,000 steps daily. Wrong shoes destroy your focus.
- Have a card system.300 business cards in a plastic bag are worthless. Use a clear system — even a simple notes app on your phone.
- Build in time for the conference programme.Many fairs have outstanding talks that are more valuable than the exhibition floor.
- Follow up within 48 hours.Most people wait too long. After two weeks the exhibitor has forgotten you.
